Due to the nature of our event we collect information from various sources both online, electronically and manually on paper form or visitors books at our exhibition. Below provides more details about the information we collect as part of our activities for our event and how we use it. We encourage you to read this carefully. Feel free to contact us if you have any questions or concerns about the data we collect and how it is used. As a voluntary organisation we do our utmost to keep your information safe and secure and to use it responsibly.

Our Artists Information

Artists participating in our event, by entering to participate via an artist application, agree to share the following information publicly on our website and brochure solely for the purpose of the event:

  • Artist Name
  • Contact Email
  • Contact Phone Number(s)
  • Studio Location
  • Studio Directions
  • Working practice
  • Studio details
  • Pictures of artworks
  • Any other information provided and permitted to be used publicly

Artist agree to this information being shared as part of their application. Additional information provided with the artist applications is kept confidential upon request or if explicitly expressed as private/confidential information. We do not share any information from the artist applications with other parties unless first agreed with the artist.

Once applications have been processed all application form data is securely stored for a maximum of five years after which time the application forms will be erased leaving only their online profile available on the website for historic purposes and the general functioning of the website.

Only Cheshire Open Studios administrators and volunteers that are part of our steering committee have been given permission to use this information for the purpose of its activities and events.

The information provided is solely for the public use to visit or contact artists as part of our event i.e. it is not permitted to use any artist information on this website for any other purpose.

Should artists wish to have their artist profiles updated/changed or removed from our artist list or the website please contact us by email at info@cheshireopenstudios.org.uk.

Subscribers & Visitors Information

Please note that as a subscriber our systems only store the name, contact email and any other information you provided to enable us to contact you on a regular basis. We do not externally store or share any of your information with third or other parties and it is only used for the purposes for us to contact you so we can provide information updates about our event and activities. 

Our newsletter feature enables the ability to Unsubscribe/Edit your subscriptions should you wish to to change your contact information.

Information left by visitors including name, email and/or other contact information is kept confidential and used solely for follow up contact about our event. 

Should subscribers or visitors wish to have their information updated/changed or removed from our website or mailing lists please contact us by email at info@cheshireopenstudios.org.uk or use the Unsubscribe option in our newsletter.

What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

Who we share your data with

Data may be shared by software on this site for security processes via security software installed. We do not share any information with other parties other than those stated here.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register, subscribe or provide feedback on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Information provided as part of artist or visitor feedback forms is used to compile statistical information for each year’s event and then is discarded/erased once our analysis report is compiled which is usually within a five year period.

During this time all such information and data is stored on secure servers provided by our website hosting company.

What rights you have over your data

If you have an account on this site, or have left comments, feedback etc you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Visitor comments may be checked through an automated spam detection service.
